Company roles and PTO modes
Job titles with a leave mode: standard, auto-approve, unlimited or exempt.
Company roles are your job titles: free-text labels such as Backend Engineer, HR Director or Sales Rep. They live under Settings > Company roles and need the Manage roles permission. Each role also carries a PTO mode that decides how leave works for everyone assigned to it.
Create and edit roles
Choose Add role, type the title, and pick its PTO mode. Titles are plain text, so name them however your company does. You can rename a role or change its PTO mode later. A role can only be deleted once no users are assigned to it; the user count on each row tells you when a role is safe to remove.
The four PTO modes
The PTO mode changes how leave requests are handled for members of that role. Standard is the default and needs no badge; the other three are labelled on the role so you can see at a glance which titles behave differently.
- Standard (default): quotas and the approval workflow apply normally.
- Auto-approve all requests: leave requests skip manager approval and are accepted automatically.
- Unlimited PTO (no quota): no annual quota is tracked; only the request itself is recorded.
- Exempt (manager approves, no quota tracking): a manager still approves manually, but no days are deducted from a quota. Useful for contractors and executives.
PTO mode follows the company role, not the person. Move someone to a different title and their leave behaviour changes with it.
Company roles versus software roles
Keep the two kinds of role apart. A company role is a job title with a leave mode; it says nothing about what buttons a person sees. What someone is allowed to do in the app comes from their software role and its permissions, covered in Software roles and permissions.
